What format is the Excel spreadsheet in, what can I do with the data?

 

The reports delivered by the system are delivered as .xls Excel files so they can be opened by any compatible software or on most BlackBerrys.

 

The spreadsheet / workbook has 5 tabs / worksheets within it;  Calls, Emails, Expense, Activities, and a Summary sheet.

 

Taking the Calls worksheet as an example, here are the columns that are provided for each tagged call (the format is similar but not identical for the Emails, Expenses and Activities worksheets);

Ref# (a unique number in our database, not used by you)

Date, as YEAR/MO/DY

Time, as HH:MM:SS

Time zone offset, as a numeric value, e.g. -7 would mean that the call was tagged in Mountain timezone, +1 would mean that the call was tagged in Central Europe timezone

Contact, in text format

Project, in text format

Duration of call, as HH:MM:SS

Minutes of duration of call, as an integer number  (e.g. a call of 01:03:58 would be shown in this column as 64)  *

Number (i.e. the number of the other party on the call, if available), shown in international format with the + symbol, or ‘Unknown” if no number was available

Billable?, denoting whether the call was flagged by the user as billable, in text format, either Both, Time, Cost or Non-Billable

Direction, in text format, either incoming or outgoing

Notes, in text format, i.e. the notes typed by the user

Hourly rate, an integer number, the user will have set this up within the application, it’s the hourly rate at which that contact is billed

Billable time, if the call was flagged as billable this will the same HH:MM:SS as in the Duration of Call column

Total billable, this is a number, it is a calculation done on the system (not in the worksheet), where the duration is multiplied by the hourly rate to get the monetary amount that should be billed

 

As it is a standard workbook, it is easy to set up filters so that you can filter and sort by contact, project, billable, etc.  You can also search for keywords within the spreadsheet.  You can also add up the numeric columns, e.g. total duration of calls for Contact A, total amount billable to Contact B Project C, etc.  You can also import the spreadsheet into other packages.
